Vendor Guidelines

2-trainsLogistics for Ashland Train Day:

Hours are 10:00 am – 5:00pm.  

Railroad Avenue and Hanover Avenue will be closed to through traffic at 7:00 am.

During Ashland Train Day, vehicles are not allowed in the Library or Town Hall municipal parking lots, Railroad Avenue between Henry Clay and Stebbins Streets, and Hanover Avenue between Thompson and Duncan Streets.

There are no guarantees of vendor placement and no guarantee that you will be a one-of-a kind vendor.

Not all areas of the festival have electricity available.

The Ashland Train Day Committee reserves the right to deny any application.

Refunds will not be issued after November 1.  All refunds are subject to a $25 administrative fee.

FOOD VENDORS:  Our Food Vendors are local and pre-selected for Ashland Train Day.  Virginia Health Department’s rules and regulations are enforced as applicable. A Health Department Permit is required for the sale of food.  Please visit the Health Department and/or call 365-4343 for a temporary permit application.  All applications must be submitted to the Health Department at least 10 WORKING DAYS prior to Ashland Train Day

Vendor Responsibilities:

  • Vendor booths must be set up by 9:00 am.

  • Provide display set-up, tables, chairs, tent and supplies.  Booth spaces are 10’x10.’  All of your operation must remain within the space boundaries including tent, tent poles, ropes, product storage, etc.

  • Generators must be quiet.  If your generator is deemed too loud, you will be asked to muffle the noise, replace it with a quieter generator, shut it down or relocate if another space is available.

  • Proof of Insurance is required by vendors who provide activities that are deemed to be of risk to participants. Please provide proof of insurance with your application. Insurance is required of both profit and non-profit organizations.

  • Vendors selling taxable product, such as food, clothing, and arts & crafts must collect and pay sales tax.
