Vendor Guidelines

2-trainsAshland Train Day opens at 10 a.m. All booths must be set up by 9:00 a.m.

Railroad Avenue and Hanover Avenue will be closed to through traffic at 7:00 a.m.

Vendors are responsible for providing display set up, tables, chairs, tent, supplies etc.  Booth spaces are 10’ x 10’.  If you require more space, please call the Hotline and we’ll try our best to accommodate.  All of your operation must remain within the space boundaries including tent, tent poles & ropes, product storage etc.

A space will be assigned to each vendor in accordance to the above priority schedule.  

There are no guarantees of placement and no guarantee that you will be a one-of-a kind vendor.

Not all areas of the festival have electricity available.

During the event, vehicles are not allowed in the Library or Town Hall municipal parking lots, Railroad Avenue between Henry Clay and Stebbins Streets, and Hanover Avenue between Thompson and Duncan Streets.

GENERATORS must be quiet. If your generator is deemed too loud, you will be asked to muffle the noise, replace it with a quieter generator, shut it down, or relocate if a space is available.

Proof of Insurance is required by all vendors who provide activities that are deemed to be of risk to the participants. Please provide proof of insurance with your application. Insurance is required of both profit and non-profit organizations.

Sales Tax – Any participant selling a taxable product, such as food, clothing, arts & crafts, purchased for resale items etc must collect and pay sales tax.

SPECIAL NOTE FOR FOOD VENDORS:  Our Food Vendors are local and PRE-SELECTED for Ashland Train Day.  If you have been pre-selected as a Food Vendor, the Virginia Health Department’s rules and regulations will be enforced as applicable. A  HEALTH DEPARTMENT PERMIT is required for the sale of food.  Please visit the Health Department and/or call 365-4343 for a temporary permit application.  All applications must be submitted to the Health Department at least 10 WORKING DAYS prior to Train Day. The Ashland Train Day Committee reserves the right to deny any application.

Refunds will not be issued after November 1.

All refunds will be subject to a $25 administrative fee.
