Train Day Vendor Application

Vendors are accepted on a first come, first serve basis. Deadline to sign up is October 25, 2019.

Application fees will increase by $25 on October 1, 2019.

Refunds will not be issued after October 1, 2019. (Refunds will incur a $25 administration fee).

Note to Food Vendors: We pre-select our Food Vendors. Do NOT fill out this form if you are a commercial food vendor.

  • Vendor Descriptions

  • Non-Profit Organization - 501c3 organization offering information OR selling merchandise, services and/or non-concession type food (i.e., jellies, honey).

    Business Vendor - Business offering information and/or selling services or items.

    Arts & Crafts Vendor - Vendor selling handcrafted items made by them (not a third party).

    Selling Food? The Virginia Health Department’s rules and regulations will be enforced as applicable. A Health Department Permit is required for the sale of food.  Please visit the Health Department and/or call 804-365-4343 for a temporary permit application.  All applications must be submitted to the Health Department at least 10 WORKING DAYS prior to Ashland Train Day.

  • Terms and Conditions expressly understood and agreed as follows:

  • No illegal weapons of any kind including guns, knives, swords, etc., may be carried, stored, sold or distributed at the event. No products which contain pornographic or explicit material of any kind will be allowed, no explosives including fireworks, poppers, etc., may be carried, stored, sold or distributed at the event. Any person or vendor found in violation of these terms will be asked to remove such products and vacate the event premises.

    I acknowledge that I assume full risk of any injuries, property damage or loss which I may sustain as a result of my participating in any and all activities connected with or associated with my participation in the festival. I understand and store my products overnight and during the festival at my own risk.

    I agree to hold sponsor and all co-sponsoring organizations harmless and blameless.

    I agree to waive and relinquish all claims I may have against the Town of Ashland, Downtown Ashland Association, all associated festival sponsors and any agents thereof, as a result of my participation in Ashland Train Day and that I share my products and services at my own risk.

    I agree to indemnify and hold harmless the Town of Ashland, Downtown Ashland Association, or any of its officers, employees, elected official or insurance carriers from any and all claims, damages, liability, or court awards, including costs and attorney’s fees, that are or may be awarded as a result of any loss, injury or damage sustained or claimed to have been sustained by anyone, including but not limited to, any person, firm, partnership, or corporation, in connection with or arising out of any omission or act of commission by me or any of my employees or agents in performing work pursuant to this Agreement or arising out of, connected with or in any way associated with the activities of Ashland Train Day.

    I agree that all demonstration and exhibits may be photographed for publicity purposes.

  • You will be registered as a vendor as soon as you hit the Submit button, even if you are mailing your payment. Credit cards are processed through the PayPal interface. You'll receive a confirmation email.
